01 / SEARCHWARE FAQ

Finding your fit

Who it serves, where it fits and how to try it.

Who is SearchWare built for?

SearchWare is built for search fund operators buying and then operating a business. It supports both self-funded searchers and traditional funded search teams, with tools for sourcing, screening, underwriting, offers, diligence and portfolio operations.

Independent sponsors and micro-PE teams can also use the connected workflow. The goal is to keep your relationships, evidence and next steps attached to the same acquisition opportunity as it progresses.

What should a search fund CRM help me do?

A search fund CRM should connect broker and owner relationships to the actual work of buying a business: managing the pipeline, reviewing documents, evaluating the economics and coordinating diligence. SearchWare brings those activities into one workspace.

Your deal record holds the context as the process develops. Instead of rebuilding the story when an opportunity advances, you can return to the contacts, documents, analysis and activity already attached to it.

Explore the search fund CRM

Can SearchWare bring my spreadsheets, email and deal room together?

Yes. SearchWare connects contacts, pipeline activity, documents, analysis, follow-ups and a Diligence Portal around each deal. You can import contact lists from CSV or Excel, then link those relationships to the opportunities you are pursuing.

Connect Gmail separately, then manually sync relevant emails from a deal or contact record. Launch the portal from that same deal and choose which documents to share with sellers and advisors; team-only documents stay internal until shared. Keep any specialist spreadsheet work in your existing tools.

How much does SearchWare cost?

Monthly pricing is $49 for Solo, $149 for Pro, and $99 per seat for Team with a 3-seat minimum ($297/month minimum). Enterprise has custom pricing. Prices are in USD.

Each self-serve plan includes a monthly platform AI budget. Pro adds Google integrations, meeting recorders, legal tools, expenses and unlimited Diligence Portals. Team adds multi-user collaboration and analytics. Annual billing is also available during plan selection.

How do I start the 14-day trial?

Sign in with Google, set up your workspace, then choose a plan in Settings → Billing. First-time customers can start a 14-day trial without a credit card. The trial gives you access to the selected plan.

Bring a real CIM and your search criteria so you can evaluate the workflow against your own work. Customers with an existing billing account may not qualify for another trial. Review the selected plan, billing interval and trial terms in checkout.

02 / SEARCHWARE FAQ

Building the pipeline

Get opportunities into a system that understands your search.

Does SearchWare source companies for me?

SearchWare helps you manage and screen the opportunities you bring into your search. You can maintain broker and owner relationships, add deals, drop CIMs in bulk and forward broker emails into the intake workflow.

You build the relationships and sourcing strategy; SearchWare keeps the resulting opportunities organized and helps you decide where to spend time. The platform works with the opportunities and evidence you bring in, rather than providing a proprietary database of acquisition targets.

Explore deal intake and screening

How does AI CIM screening work?

Upload CIMs or forward deal emails to bring opportunities into screening. SearchWare uses AI to extract information and evaluate fit against your buy box, helping you identify opportunities that deserve a closer look.

Screening is a starting point for your review. The quality of the result depends on the documents and information available. Check the underlying evidence and clarify gaps with the broker or seller before relying on a conclusion.

See the AI screening workflow

Can I tailor the screening to my buy box?

Yes. Set your organization's search criteria and underwriting defaults so opportunities are considered in the context of your search. Your target business and financing approach help determine what a promising deal looks like for you.

That turns screening into a consistent first pass across incoming opportunities. You can still investigate a deal outside the criteria; the buy box supports your judgment rather than making the acquisition decision.

Read the search pipeline guide

Can independent sponsors and micro-PE teams use it?

Yes. The same connected CRM, underwriting and diligence workflow can support independent sponsors and micro-PE buyers. Team adds a shared pipeline, analytics and collaboration for organizations with multiple users.

Assess it against your deal process and reporting needs during the trial. Enterprise is available for a conversation about custom integrations and support when a larger operation needs a different scope.

03 / SEARCHWARE FAQ

Building conviction

Understand the evidence, the model and the limits of AI.

What does the AI Deal Memo give me?

The Deal Memo brings deal analysis and cited figures together so you can trace the financial story back to its source. It helps you review what is known, surface questions and identify the evidence you still need.

A citation makes an input easier to check; it does not independently verify the seller's underlying information. Use the memo to prepare better follow-up questions and direct your own analysis and diligence.

Explore AI memos and deal evidence

Does underwriting support self-funded and traditional search?

Yes. SearchWare supports SBA-financed self-funded search, hybrid structures with passive investors, and traditional funded search. You can work through sources and uses, debt, coverage, returns and sensitivity across saved scenarios.

The underwriting engine calculates the scenarios from your inputs and assumptions. AI can help organize source information, but the model remains something you inspect and adjust. SBA rule checks are marked pending lender review and do not constitute financing approval.

Explore the underwriting tools

Does AI replace my diligence team?

No. AI screening, memos and document questions help you organize evidence and focus your attention. You remain responsible for checking figures, evaluating assumptions and deciding whether to pursue a deal.

Accountants, lenders, counsel and other specialists still play their respective roles. SearchWare gives their work a connected home; it does not guarantee a deal's quality, a loan approval or a successful closing.

Read the diligence checklist

Can I use my own AI provider key?

Yes. You can use the platform AI included with your plan or connect a supported provider key. Calls through your own key use your provider account and are billed separately by that provider; they do not consume the SearchWare platform AI budget.

For platform AI, Billing shows monthly usage. At the included budget, bulk and background work pauses until the next calendar month while interactive actions continue. Document length, model and task affect usage, so the budget is not a fixed number of analyses.

Working toward close

Turn an investment thesis into an organized transaction process.

Can I draft NDAs, IOIs and LOIs?

Pro and higher plans include legal tools for NDAs and offer letters. You can create an IOI or LOI from a saved underwriting scenario, connecting the proposed terms to the economics you evaluated.

Offer versions preserve the scenario behind the proposal. These are drafting and workflow tools: have your legal counsel review the terms and documents before using them in a transaction.

What is a Diligence Portal and how does it work?

A Diligence Portal is a shared deal workspace for your team and invited counterparties. In SearchWare, it brings workstreams, document requests, shared files, messages and milestones together under your firm's name and logo.

You invite sellers and advisors, organize requests by workstream, and review uploaded documents. External users have an invitation-based portal sign-in. Deal documents remain private to your team until shared; files uploaded to fulfill portal requests are shared automatically.

Explore the Diligence Portal

How does SearchWare help coordinate search fund due diligence?

Organize diligence into workstreams such as financial, legal and operational review. Create document requests with due dates and assignees, follow their status, review uploads and keep updates and milestones connected to the deal.

The practical value is knowing what is outstanding, who needs to respond and which evidence has arrived. That supports a lean search team coordinating with a seller and outside advisors without reconstructing the process from separate email threads.

Use the workstream-based diligence checklist

Which plan includes a Diligence Portal?

Solo includes one active Diligence Portal. Pro and higher plans include unlimited Diligence Portals, so you can coordinate more than one live diligence process.

Portal permissions distinguish between the internal deal team and invited counterparties. Document sharing, financial-document access and download settings let you manage what external participants can see and do.

05 / SEARCHWARE FAQ

Running the day-to-day

Keep communication, collaboration and operating work in context.

Does SearchWare connect to Gmail and Google Calendar?

Pro and higher plans include Gmail and Google Calendar integrations. After connecting them, you can bring relevant email and meeting context into your deal workflow and use connected communication tools.

Google sign-in and these integrations are separate permissions. You choose whether to connect Gmail or Calendar from Settings; signing in does not by itself give SearchWare access to your mailbox or calendar.

Explore communication and integrations

Can I connect Granola or another meeting recorder?

SearchWare supports Granola connections for bringing relevant meeting context into deals. Recorder integration is included in Pro and higher plans. What can be imported, including transcripts, depends on your recorder account's capabilities.

Read AI is a beta integration and is available only where enabled. Imported recorder meetings start private by default; you control sharing with the deal team or the wider organization. SearchWare connects to your existing recorder account.

Explore meetings and deal context

Can I track search expenses?

Pro and higher plans include an optional Expenses module for tracking search and operating expenses. Enable it for your workspace to organize expenses, review records and use reporting and exports.

Bank and card feeds, receipt automation and the expense autopilot are rolling out and depend on availability for your workspace. You can evaluate the tools available to your workspace during the trial.

Can partners and team members work together?

Team is designed for shared work across a search team and starts at 3 seats. It includes multi-user collaboration, a shared pipeline, analytics and deal and portal activity history.

Workspace roles distinguish owners, admins, members and read-only viewers. Invited seller and advisor access through a Diligence Portal is a separate workflow from membership in your internal search team.

What happens after I close an acquisition?

SearchWare also includes portfolio company records so the platform can continue supporting you as you move from searching to operating. Keep the company, related contacts and operating context connected after the transaction.

Portfolio tools complement the financial, accounting and operational systems your company already uses. They help preserve continuity from the acquisition process into ownership.
